Coordinator - Conference Billing

Department: Accounting

Job Summary:
The Conference Billing Coordinator will be responsible for accurate and timely billing for all groups and conferences at The Breakers. This individual will collaborate with various teams to ensure proper billing procedures are followed, post charges to master accounts, and handle final invoicing and payment processing.

Responsibilities:
- Review group and conference contracts
- Collaborate with meeting reservations team, conference service managers, and meeting planners
- Assign appropriate billing rules to capture charges accurately
- Attend pre-conference meetings and assist with bill reviews
- Process cash paid out requests and address billing inquiries
- Post charges to master accounts as needed
- Audit contracts, resumes, and event orders for final invoicing
- Follow up on final invoices with clients and address any queries or disputes promptly
- Report billing issues to the Conference Billing Manager
- Collect final payments and process travel agent commissions in accordance with contracts

Qualifications:
- Strong organizational skills and attention to detail
- Excellent written and verbal communication abilities
